Introduction

This Manual is intended to assist the Lodge Secretary in learning how to use Minute Maker.

When the program is first run it is important to go to Utilities the Set data these opens a series of screens that allows the user to enter important default data (this step nay be omitted if MinuteMaker is used in conjunction with Lodge Secretary’s Assistant).  The Final Screen is where information such as the Name of the lodge is entered.  This screens is important as it contains information that is used frequently by the program for the printing of reports and other features.

The manual is divided into 9chapters with the same names as the Items in the menu bar at the top of the screen. except for the “Quit” item which should be intuitively obvious, actually there are 3 ways to quit the program.

By Clicking  “Leave Minute Maker.  If you wish to return Lodge Secretary’s Assistant click the appropriate line or to close completely by clicking the appropriate line/

By Clicking the “x” in the top Right hand Corner.

By Clicking the Minute Maker in the top left hand corner and selecting “close”

1


Chapter 1 Opening Screen

T

he opening screen displays a series of boxes requiring various basic information about the meeting.  Fill the boxes in with the appropriate information.  The small blue boxes can either by edited with the appropriate information or they fill in by default if the buttons for Lodge Officers, Members Present or Visitors Present are clicked and the information entered into the screens displayed.

To open the Lodge Officer screen the Masonic year must be Entered.  This will open a screen with the lodge Officer positions for the year and below a list of the Members of the Lodge on the lower left and the installed officers on the lower right.  To copy a brother’s name and place it in the appropriate box in the top portion of the screen, click and highlight the brother’s name, right click your mouse and select “copy” move the cursor to the blank bow next to the officers position in the top portion of the screen, right click again and select “paste”.  To start over click the pencil eraser.  To save the information to be printed on the minutes click the arrow in the upper right corner.

To enter Members Present click the appropriate button and a new screen will appear.  To select more than one member hold the Ctrl key down and click the members, to select a block of members hold the Shift Key down.  To start over click the Clear Selections.  To save the information to be printed on the minutes click the arrow in the upper right corner.

Visitors Present screen previous visitors can be selected by the same procedures as in the Brethren present screen.  If the visitor is a first time visitor click the First Time Visitor and fill in the screen, to refresh the Visitor box after you have entered a first time visitor you may need to close the Visitor screen and reopen it.

Chapter 2 Meeting Items

M

eeting Items –clicking this menu item will open a display to select the meeting items, as not all meetings have the same items you will not usually need to select all items.  If you select an item and do not use it a space with the titles for that item will appear in the minutes.  To “deselect a Reset meeting items click the white circle again  - if the circle has no dot in it will not appear in the minutes if the circle contains a black dot  it will be displayed in the minutes.  You can return to this screen and change your selections at any time.  By removing the black dot you will lose the information that you may have entered on the corresponding screen.  To enter the forms selected the “Meeting Items” form must be closed.

Chapter 3 Print Minutes

P

rnt minutes after the screens for the meeting items have been completed the minutes can be saved an printed or if preferred they can be saved and opened automatically in a word processor program for further editing.  The minutes will be saved as minutes and the date of the meeting. rtf (e.g. minutes23-Jun-03.rtf) Typically if you have installed the program with out changing the default directory the directory will be C:\Program Files\Secretary

Chapter 4 Membership Roster

A

ny time you wish to enter a brother’s name a short cut  to enter their name is to select Membership roster, to copy a brother’s name and place it in the appropriate box of the screen, click and highlight the brother’s name, right click your mouse and select “copy” move the cursor to the blank bow next to the officers position in the top portion of the screen, right click again and select “paste”.

eneral Information Regarding numerous lodge particular functions such as Average of Members , Average period of time brothers have been a Member of the Craft, Lodge Officers for a given Year,  Members whom have not paid dues for a given year (dues in arrears)  Year a member joined the craft (useful to determine when 50 year pins etc are due to be awarded).

Chapter 7 Short-cuts

 

S

Hort-cuts or speed keys are available through out the program.  In many cases displays default to the today's date, there is a quick key enter to sped this

Data can usually be saved in different formats that can be utilised by other programs.

The right click button often provides various options such as sorting the screen display, or deleting an unneeded or blank record.

Shortcut to enter today's date

A fast way of enter today’s date through out the program is to hold the ctrl key down and hit the “semi-colon” key

Saving Information in another format

Most report outs display the report prior to printing.  Along the top is a menu item named “Export” by clicking on this you are presented with various options for saving an other data in another format.  Generally the format to select is "rtf" as most computers can open this file and it will appear similar too the original file
